Who reviews the application
QuickFire Entertainment Holdings, LLC, operating Triune TCG. Privacy contact: Craig McCullough, craig@quickfiretalent.com, 731-446-0153. Mailing address: 1328 Cherokee Trail, Tallassee, AL 36078.
Craig reviews applications and independently checks the business, your authority and the game space. Approval is not guaranteed by submitting a form or an image.
Details and purpose
We collect the applicant’s name, store and legal business names, store address, country, business contact email/phone, application status, submitted evidence, verification sources/results, decision reasons and appeal history. We use them to assess the store and your authority, manage its relationship with Triune and explain review decisions.
Only the applicant and Craig may retrieve the private evidence through the application. Craig’s review requires current multi-factor authentication. Other staff, applicants and public visitors do not receive access to these images. Supabase stores them privately; Vercel processes the upload/retrieval requests. Previously downloaded copies cannot be recalled.
Before uploading the three required images
Provide a business license, the owner’s legal ID and an interior photo of the game space as JPEG or PNG images. Redact ID numbers, birth dates, home addresses, signatures, barcodes and machine-readable zones. Leave only the name, photo, issuing authority and expiry date needed for comparison.
Redact tax/account numbers and unrelated personal details on the business license. Keep identifiable customers, minors and private paperwork out of the game-space photo. Do not email documents. The service validates and re-encodes accepted images without their original metadata; this is not a certification of document authenticity.
Image deletion and remaining records
Evidence images become due for deletion 30 days after approval, decline or withdrawal. A reviewable appeal opened before the deletion deadline pauses cleanup; closing the appeal starts a new 30-day period. Evidence for an abandoned draft becomes due after 90 days without an applicant change.
Cleanup confirms removal of the file before marking it deleted. Failed jobs remain visible for follow-up. An appeal cannot restore an image already removed; fresh redacted evidence may be requested. At initial launch, uploaded images have no separate recovery backup; a lost or damaged image may require a new redacted upload. Provider records and reviewer downloads need separate handling.
The application’s minimum business/contact details, verification source/date/result, decision reason and audit attribution are separate from the images. Closed, withdrawn or declined application records are retained for 12 months after the final decision or appeal. Approved-store records are retained while the store relationship is active and for 12 months afterward. Resolved correspondence is retained for 12 months. Craig administers these periods through record review; they are not automatic deletion jobs. Only specifically necessary security/dispute records may be excepted under a documented reason, with review at least every 90 days. This does not extend the shorter image schedule.
Notices, corrections and appeals
Edit a draft, withdraw an eligible application or use the appeal control to request review of a decline. Contact Craig for access, correction or a privacy request. We verify your authority before disclosing records.
Resend can send a generic notice that a store update is available. It receives the recipient address and generic message, not your application text or documents. The email grants no store access and is not itself an approval. Detailed decisions remain inside the authorized account. An invitation must still pass its own acceptance and access checks.
